How it works
From group chat to Grouperly in one evening.
No committee, no training and nobody's permission. Here's the whole thing, what your families see, and why next year gets easier.
Step 1
Create your group.
Give it a name and say what kind of group it is. Then shape it like your group really works, with its subgroups and the jobs people do.
- A team, a class, an organization, a scouting unit, or anything else
- Subgroups named your way: dens, patrols, teams, sections, committees
- Roles with their own permissions, so the treasurer can handle money without seeing everything else
- Scouting packs and troops can start from a template with their dens, roles and the big events of the year
- Add other leaders as admins, so it never all rests on you
Step 2
Bring in your people.
Import the spreadsheet you already keep. Parents and kids stay together as households, and nobody has to sign up for anything yet.
- Names, emails, phones, birth dates, dens or teams, tags, and your own fields
- A parent answers for their kids, and every message to a young member copies their parent
- Adults' contact details stay private unless your group decides to share them
- Download the roster as a spreadsheet whenever you want it back
Step 3
Post your next event.
Add the date, the place, the price and the RSVP deadline. From then on, the reminders, the headcount and the who's-paid list take care of themselves.
- Ticket types and a cap on spots, for the trip with twelve seats
- Payment to hold a spot, if you'd rather not chase it afterwards
- Reminders a week and a day before, and when the RSVP deadline or a payment is due
- Cash and checks recorded alongside card payments, and a door list to download
Step 4
Send one announcement.
Tell everyone the group has moved to Grouperly, and what's coming up. It reaches every family on your roster by email, with their own link to join.
- Send to everyone, or just one subgroup, the parents, a role or a tag
- See who it was delivered to, person by person
- Families who never join still get your announcements by email
What families see
Simple for families. Even the busy ones.
Families don't learn a new app. They get your email, tap the link, and see their groups.
- They join with the link in your email, and sign in with Google, Apple, or an email and password
- They RSVP and pay for each of their kids in one step
- Every group they're in shows on one calendar, and it can feed the calendar on their phone
- It works in the browser on any phone, tablet or computer: nothing to install
- They choose how often they hear from each group, down to a daily or weekly digest
And next year
The second year is easier than the first.
Everything you set up stays with the group. When the next event comes around, or the next leader takes over, nobody starts from scratch.
- Recurring events keep every year: the date, who came, what was paid, and the documents
- Plan next year copies an event forward with its ticket types, people and checklists
- Roles keep their checklists, so a new treasurer or den leader knows what the job involves
- Make the next leader an owner, and they have everything you had
